Swopmatch ("Swopmatch", "we", "our", or "us") is an online platform that helps Zimbabwean teachers identify potential reciprocal transfer opportunities.
This Privacy Policy explains how we collect, use, store, disclose, and protect your personal information when you use Swopmatch.
By creating an account, accessing, or using the platform, you acknowledge that you have read and understood this Privacy Policy and consent to the collection, use, and disclosure of your information as described herein.
2. Information We Collect
2.1 Information You Provide
We may collect:
- Full name
- Mobile number
- WhatsApp number
- Gender
- Password (stored only in encrypted or hashed form)
- Current school
- Province
- District
- Town
- Teaching level
- Subjects taught
- Preferred transfer locations
- EcoCash transaction reference numbers
- Refund EcoCash number
- Any information voluntarily provided through support requests, forms, messages, or account updates
We do not collect, store, process, or have access to your EcoCash PIN or other banking credentials.
2.2 Automatically Collected Information
We may automatically collect:
- IP address
- Device information
- Browser type
- Operating system
- Login activity
- Session information
- Error logs
- Usage statistics
- Pages viewed and actions performed within the platform
2.3 Verification Information
Where necessary for fraud prevention, account verification, dispute resolution, or compliance purposes, we may request additional information or documentation from users.
3. How We Use Your Information
We use personal information to:
- Create and manage user accounts
- Match teachers seeking reciprocal transfers
- Facilitate communication relating to potential matches
- Verify payments
- Process refunds
- Provide customer support
- Improve platform functionality
- Conduct analytics and performance monitoring
- Detect, investigate, and prevent fraud, abuse, misuse, or unauthorized activity
- Enforce our Terms of Service
- Comply with legal obligations
- Protect the rights, safety, and security of users, Swopmatch, and third parties
4. Disclosure of Information
4.1 Disclosure to Matched Users
To facilitate reciprocal transfer discussions, once both matched users have paid the applicable matching fee, Swopmatch may disclose the following information to each matched user:
- Full name
- Mobile number
- WhatsApp number
- Current school
- Current province, district, and town
No personal contact information is disclosed before both matched users have satisfied the applicable payment requirements.
Once information has been disclosed to another user, Swopmatch cannot control how that user uses, stores, or shares such information.
4.2 Service Providers
We may share information with trusted third-party service providers that assist in operating the platform, including:
- Twilio (SMS and WhatsApp messaging)
- Supabase (authentication and database services)
- Cloud hosting providers
- Payment verification providers
- Analytics and security providers
These providers process information on our behalf and are contractually required to protect personal information where applicable.
4.3 Legal Requirements
We may disclose information where required by:
- Applicable law
- Court orders
- Government agencies
- Regulatory authorities
- Law enforcement requests
- Legal proceedings
We may also disclose information where we reasonably believe disclosure is necessary to protect our legal rights, investigate fraud, or protect users and the public.
4.4 Business Transfers
If Swopmatch undergoes a merger, acquisition, restructuring, sale of assets, or similar business transaction, user information may be transferred as part of that transaction, subject to applicable law.
4.5 No Sale of Personal Information
We do not sell users' personal information to third parties.
5. SMS and WhatsApp Communications
By registering, you consent to receive communications from Swopmatch by SMS, WhatsApp, email (if provided), and in-app notifications.
These communications may include:
- Match notifications
- Payment confirmations
- Verification codes
- Security alerts
- Account updates
- Service announcements
- Deadline reminders
- Customer support responses
You may opt out of non-essential promotional communications by contacting support.
However, essential communications relating to security, payments, account administration, legal notices, or platform operation may continue to be sent.
6. Data Retention
We retain personal information only for as long as reasonably necessary to fulfill the purposes described in this Policy.
Unless a longer retention period is required by law:
- Active account information is retained while your account remains active.
- Deleted accounts may remain in backup systems and soft-deleted storage for up to 90 days before permanent removal.
- Payment and transaction records may be retained for at least 5 years or longer where required for accounting, tax, legal, audit, dispute resolution, or regulatory purposes.
7. Security
We implement reasonable technical, administrative, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, disclosure, or alteration.
Security measures may include:

- Secure cloud infrastructure
- Monitoring and logging systems
No method of electronic transmission or storage is completely secure. Accordingly, Swopmatch cannot guarantee absolute security and disclaims liability for unauthorized access resulting from circumstances beyond its reasonable control.
8. Your Rights
Subject to applicable law, you may request to:
- Access your personal information
- Correct inaccurate information
- Update your account details
- Delete your account
- Request a copy of your information
- Withdraw consent for non-essential communications
- Lodge a complaint regarding our handling of personal information

We reserve the right to verify your identity before processing any request.
9. Children's Privacy
Swopmatch is intended solely for adults aged 18 years and above.
We do not knowingly collect personal information from individuals under 18 years of age. If we become aware that such information has been collected, we may delete the information and terminate the associated account.
10. International Processing
Your information may be processed, stored, or backed up on servers located outside Zimbabwe through our third-party service providers.
By using Swopmatch, you consent to such processing and transfer of information where necessary for operation of the platform.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
Where changes are material, we may notify users through in-app notices, SMS, WhatsApp, email, or other reasonable means before the changes take effect.
Continued use of Swopmatch after the effective date of a revised Privacy Policy constitutes acceptance of the updated Policy.
