Swopmatch User Manual

A complete walkthrough of Swopmatch for teachers seeking mutual transfers and for agents helping teachers register and match. Skim the table of contents or read end-to-end — everything you need from sign-up to a successful swap is here.

Quick start (60 seconds)

  1. Sign up with your mobile number and verify the OTP.
  2. Post your current school placement (province, district, school, level, subjects).
  3. Add the provinces, districts or towns you'd like to move to.
  4. Pay the once-off registration fee to appear in the matching pool.
  5. When Swopmatch finds a mutual match, both teachers pay the matching fee to unlock WhatsApp contact.

Part A — For Teachers

Swopmatch matches you with another teacher whose current placement mirrors your wishlist, and whose wishlist matches your current placement. It's a two-way swap, not a vacancy board.

1. Create your account

Tap Sign up and enter your Zimbabwean mobile number in the format +263 7X XXX XXXX. We send a 6-digit One-Time Pin (OTP) by SMS. Enter it to verify your number and set a password.

  • Use the number registered with EcoCash — it's the same one used for payments and match notifications.
  • If the OTP doesn't arrive within 60 seconds, tap Resend. Check that your phone has network.
  • You'll receive a unique Teacher ID once your profile is complete — keep it safe.

2. Post your current placement

On the Dashboard → Register screen, tell us where you currently teach:

  • Level: Primary or Secondary.
  • Province, district, town and school: pick from the searchable list. If your school isn't listed, submit it for approval — an admin usually approves within 24 hours.
  • Subjects: for secondary teachers, select every subject you are qualified to teach.
  • Three-way swaps: tick this if you're open to a chain match involving a third teacher.

Tip: the "Describe your situation" AI helper on the register screen can auto-fill the form from a plain sentence like "I teach Maths and Physics at a secondary school in Marondera. I want to move to Bulawayo or Harare."

3. Add your wishlist

Choose whether you're flexible at province, district or town level, then pick every area you'd accept. The broader your wishlist, the more matches you'll see — but keep it honest, because you'll be expected to accept a match you listed.

4. Browse listings & matches

The Listings page shows every active teacher looking for a swap. Contact details are masked until a mutual match is paid for.

Your Dashboard shows:

  • Direct matches — teachers whose placement and wishlist mirror yours perfectly.
  • Near matches — one-sided matches (they want to come to your area, but you haven't listed theirs, or vice versa). Update your wishlist to unlock them.
  • Match score — a badge showing how strong the two-way overlap is.

5. Registration & matching fees

Two fees apply. Both are listed in USD and ZiG on the Fees page:

  • Registration fee: a one-off charge to activate your listing. Paid via EcoCash / Paynow.
  • Matching fee: charged only when a mutual match is confirmed. Both teachers must pay it within 48 hours for contact details to be released.

Tap the Pay with Paynow button on your dashboard, complete the mobile money prompt on your phone, and your status updates automatically. If the badge still says "Pending" after 5 minutes, tap the refresh icon or contact support.

6. Connect on WhatsApp

Once both teachers have paid the matching fee, Swopmatch reveals each other's WhatsApp number on the match panel and sends a WhatsApp intro to both parties. From there you handle introductions, headteacher consultations and the transfer paperwork directly.

Remember: Swopmatch is a matching platform. The actual transfer is granted by the Ministry of Primary and Secondary Education and both headteachers.

7. Notifications

You'll be notified when:

  • A new mutual match is found.
  • Your counterpart pays the matching fee (or the 48-hour window is about to expire).
  • An admin approves a school you submitted.
  • There's a change to fees or platform policy.

Enable browser / push notifications when prompted, and install the app from your browser menu ("Add to home screen") for faster access.

8. Managing your account

  • Edit profile: update your placement, subjects or wishlist any time from the dashboard. Changes take effect immediately.
  • Forgot password: use Forgot password, we'll SMS a reset code.
  • Pause or delete: contact support to pause matching (e.g. if you're negotiating a swap already) or to delete your account.
  • Session timeout: you'll be signed out after a period of inactivity for security.

9. Refunds & disputes

The registration fee is non-refundable once your account is activated. The matching fee is refundable (or credited) if your counterpart fails to pay within the deadline. Full details are on the Refund policy page.

Part B — For Agents

Agents help teachers — especially those in rural areas or without smartphones — register on Swopmatch and complete their listings, and earn commission for every registered teacher and every completed match.

1. Becoming an agent

Sign up as a normal user, then open Agent onboarding from your dashboard. You'll be asked for:

  • Full name, ID number and EcoCash number (for payouts).
  • Districts you can cover.
  • Agreement to the agent code of conduct.

An admin reviews your application. Once approved, your dashboard switches to include the Agent tab.

2. Your agent dashboard

Once approved, your dashboard shows:

  • Your two codes: an Agent Code (AC…) for teachers you recruit in person, and a Promo Code (APC…) for wider marketing. The promo code also gives the teacher a discount on their registration fee.
  • Commission balance (USD) — the amount currently owed to you, updated automatically when a referred teacher's registration payment is verified.
  • Commission history — every recruit, promo and payout entry with the teacher and date.
  • Your EcoCash number — the number admin will use to pay you out.

3. Referring teachers

Two ways to bring a teacher onto Swopmatch:

  1. Agent Code (AC): give the teacher your AC code to enter at sign-up. They are recorded as directly recruited by you and, once they pay their registration fee, you earn the recruit commission.
  2. Promo Code (APC): share your APC code publicly (social media, posters, WhatsApp). Any teacher who uses it gets a discount on registration, and you earn the promo commission when their registration is verified.

Important: a teacher can only be linked to one recruiting agent and one promo agent — the codes are captured at sign-up and cannot be changed afterwards. Never take cash from teachers; all fees are paid through the in-app EcoCash / Paynow flow directly to Swopmatch.

4. Commissions & payouts

There are two commission types, both triggered by a verified registration payment (matching payments do not pay commission):

  • Recruit commission — paid when a teacher who entered your AC code has their registration fee verified.
  • Promo commission — paid when a teacher who used your APC code has their registration fee verified.

The exact amount for each is set by admin in Admin → Fees and can change over time; the value in force at the moment of verification is what gets credited. Check your dashboard for the current rates.

Payouts are processed manually by admin via EcoCash to the number on your agent profile. When a payout is made, a matching entry appears in your commission history and your balance is reduced. There is no fixed weekly schedule — contact support if your balance has been outstanding.

5. Code of conduct

  • Never misrepresent a teacher's placement, subjects or wishlist to force a match.
  • Never charge teachers a "service fee" on top of Swopmatch's published fees.
  • Protect every teacher's personal details — never share their WhatsApp number or ID without consent.
  • Report suspected fraud (fake schools, duplicate accounts, chargebacks) to support immediately.

Breach of the code results in suspension of your agent status and forfeit of pending commission.
